Registration guidelines

The registration to the SIOP Europe Annual Meeting in 2024 is open for all participants (and no longer per invitation only).

All participants must Create an Account and register via the Online Registration Form.

Please read the instructions below carefully.

Each participant will receive a registration number by email after the submission of the Online Registration Form. As for payments completed by bank transfer, please proceed with the payment only after receiving your registration number. Please do not send any payment by bank transfer without the Registration number and participant’s name included in the payment details.

All above fees include local VAT 22 %.

(*) If you are a health professional based in Europe, you can apply to become a member of SIOP Europe.  To verify your membership status, please send an email to: membership@siope.eu and please indicate which country are you representing. During the registration, you will be asked to provide your membership number.

(**) This fee is applicable only to participants under 40 years of age. In order to proceed with your registration, you have to upload a photo/ scan or your ID or passport. If you are a SIOPE Member, you will be also asked to provide your membership number.

(***) Psychosocial workers include: (Clinical) Psychologists, Neuropsychologist, Psychiatrists, (Clinical) Social Workers, Psychotherapists, Pedagogues, Art Therapists, Musical Therapists, Theologists/Pastors, Special Needs Teachers, Remedial Teachers, Educators/Kindergarten Teachers, Sports Therapists and other associated health care professionals.

Participants are invited to attend all open sessions as well as the joint sessions with other ECTGs and Parent & Survivors Organizations during the whole week regardless of their profile and membership.

Please note your registration is not valid until fully paid. Make sure to pay your registration fee within 14 days after your registration.

All registration deadlines are based on local time of the meeting venue (CEST / CET).

Travel and accommodation costs are not covered by the registration fee.

Group Registrations

When registering more than ten participants under one company identity/invoice, please contact the Secretariat at: annualmeeting@siope.eu to determine the preferred invoicing setting.

Confirmation

Each participant will receive the registration overview and an email notification confirming the received payment and eventually stating the amount outstanding after the completion of the Online Registration Form.

Accreditation ‘Prerichiesta AIFA’ for Italian Pharmaceutical Companies

SIOP Europe has appointed AIM Group International to collect, on our behalf, all the applications from Italian pharmaceutical companies and to file them with the appropriate Italian Medicine Agency officials. Payment Details

The beneficiary is SIOP Europe – the European Society for Paediatric Oncology (Clos Chapelle-aux-Champs 30, 1200 Brussels, Belgium).  

All fees should be paid in EUR (€), free of all bank charges. However, please confirm with your bank as to any possible charges from their side.

By Bank Transfer

Please make sure that the payment is free of all bank charges and participant’s name and Registration Reference Number are clearly stated in the bank transfer.

The payment by bank transfer is available until 24 April 2024. After this date, all payments can be done only by credit/debit card.

Payments received without such details (name, Registration Reference Number) cannot be identified.

Online Payment by Credit/Debit Card

In case of rejected on-line credit/debit card payment, the delegate is recommended to amend his registration online and try to process the payment again. Should trouble with the payment persist, the participant is advised to contact the credit card issuer/bank first and check if online transactions are not disabled on his credit card. Afterwards, the amendment of the registration can be processed again.

Final Invoice

  • Final invoice is sent to the Delegate by email directly following the online payment or within 10 working days from receiving the bank transfer. If you need assistance with the invoice, please contact the Meeting Secretariat at: annualmeeting@siope.eu
  • The final invoice will be issued based on the details provided while registering (step Contact/Invoice details). 
  • Any change of such details (address, VAT number etc.) is possible only within 15 days from the registering date and is subject to a 50 EUR fee.

Cancellation / Refund Policy

Please kindly note that it is not possible to change the registration type (for example from Regular Delegate to Young Oncologist) after the registration is finalized and paid. No refunds are possible in this case. 

Substitutions and name changes are subject to a 50 EUR administrative fee. All requests must be made via email to annualmeeting@siope.eu

Registration cancelled up to 1 December 2023:

• Full refund with the deduction of an administrative fee of 25 EUR

Cancellations after 1 December 2023 will be subject to the normal cancellation terms and conditions:

• From 1 December 2023 until 31 January 2024: Cancellation fee of 50 EUR will be applied.

• From 1 February to 31 March 2024: 50% of the registration fee will be refunded.

• After 31 March 2024: No refund will be possible. 

Cancellation of Networking Events and Other Bookable Items

  • From 1 October 2023 to 15 February 2024 – 20 EUR administrative fee will be deducted from all refunds
  • After 15 February 2024 – no refund can be processed

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. Participants are advised to take out adequate personal insurance.

Cancellation or Modification of the Meeting Due to Force Majeure

In the event of a force majeure situation, SIOP Europe reserves the right to alter or cancel the Meeting without prior notice, including any change of the time and/or venue of the meeting. Any occurrence of force majeure event shall be communicated as soon as reasonably possible from the decision time. Force majeure includes any circumstance beyond the reasonable control of SIOP Europe which prevents or impedes the realisation of the meeting. This includes but is not limited to, government action, war or hostilities, riot or civil commotion, plague or other epidemic such as SARS, COVID-19, bird flu, earthquake, flood, hurricane, cyclone, fire or other natural physical disaster, explosion, accident or breakdown, strike, lack of the usual means of transportation or terrorism. SIOP Europe shall not be liable for any direct or indirect, incidental or consequential, punitive or exemplary damages, losses, expenditures or any other inconveniences or costs caused by such modification or cancellation of the conference.

Invitation letter for visa application

Attendees must have registered and paid the required registration fees before requesting an official letter of invitation. You will be able to download the invitation letter directly upon completing your registration. Please note that the visa letter only aims at assisting participants who need to obtain a visa or permission to attend the Annual Meeting and it is not a commitment from the organisers to cover any kind of expenses or to provide any financial support.

Badges

Each registered participant will receive a name badge upon arrival. For organisational and security reasons, we request that all participants and industry partners wear their badges at all times during the congress activities. Re-print due to loss of badges or due to misspelled names can be done at the registration desk at a cost of EUR 20 per badge.

Photographs and videos

Please be aware that pictures and videos are taken at the SIOP Europe Annual Meeting. If you do not want to be photographed or filmed, please let the photographer know at the congress or let SIOP Europe know by sending an e-mail to: annualmeeting@siope.eu

Mobile App

Please be aware that registered participants will appear in a list of participants in the mobile app, unless a specific request not to be included is received by 24 April 2024 via e-mail to: annualmeeting@siope.eu

Data Privacy and Security

The European General Data Protection Regulation (EU GDPR) entered into force as of 25 May 2018 and it involves some additions to data protection.

We take your privacy very seriously and in order to comply with GDPR consent requirements, we need you to confirm that you agree with our new Privacy Policy during the process of creating the account in our system. You can view it here.

After creating your user account in our system, you can manage your information, protect your privacy and security via our Online Portal that is fully GDPR compliant.
